Callback Procedures

The mandate of the Callback program is to provide a system to ensure that should a child fail to arrive at school, parents and/or police can be notified as soon as possible.

Callback volunteers attempt to account for an absent child using the following procedures:

  • contact other siblings within the school.
  • contact parents (at home or at work).
  • contact "other" callback numbers.

Depending on how many children are absent and the type of information the Callback volunteer has for each child, a volunteer can put in an extensive amount of time attempting to locate one or more absent children. If the Callback volunteer is unable to obtain any information as to the whereabouts of the child, the administration is notified. The administration will continue efforts to contact a parent. Based upon information provided by the Callback program, staff and other resources, the administration determines whether or not the police will be notified. The police will respond to cases where there is a genuine concern for the safety of the child, however, they are unable to respond to every case where a child is absent and not accounted for.

To ensure the success of the Callback program parents must be aware of their responsibilities:

  • parents must contact the Callback program (488-1139) if their child is absent for any reason.
  • parents must provide contact numbers where someone is available with information (9-9:30am & 1-1:30pm).
  • parents must contact school immediately if they have received a message from Callback.
  • cell phone numbers must only be listed if the cell phone is in use during school hours.
  • When leaving you message on the answering machine, your message must include:

                - the time and date of your call
                - your child(s) name and room number
                - whether your child will be absent morning, afternoon or all day
                - whether your child will be absent from Lunch Program

The safety and well being of the students of École Robert H. Smith School is of great concern to the Callback program and its dedicated volunteers.

If you require changes to your Callback information form (ie. telephone numbers where someone is available or new emergency contacts), please provide this information to the school as soon as possible.
